Sycamore Medical Management is seeking a Surgical Coordinator for our fast-paced, multi-specialty, growing practice. The Surgical Coordinator is responsible for scheduling all surgeries for the physicians in the office. The overall purpose of this position is to efficiently schedule surgeries for the physician(s) by managing their surgical schedules and act as a patient advocate for our surgical patients.
Responsibilities
- Meet with the patients after the physician(s) visit and/or by phone/telehealth
- Discuss surgical procedure details with the patient including insurance benefits, authorization requirements, and/or cosmetic rates
- Actively participate in engaging with the patients, physicians, and teams during clinic hours with a focus on patient satisfaction during their appointment
- Arrange surgery dates according to the physician(s) OR and office hour schedule
- Contact Hospital Operating Room and/or Surgery Center coordinate date/time of surgical procedure; responsible to send reservation forms and update calendars
- Schedule inpatient hospital procedures and in office procedures
- Schedule pre/post-operative visits with physician
- Provide the Pre-Certification Department with patient demographic information to initiate the insurance authorization request and follow up to ensure completion prior to services being rendered
- May be responsible to authorize surgical procedures and/or verify eligibility, deductibles, co pays and advise the patients
- Coordinate co-surgical cases with referring physicians and arrange for PA assists
- Return patient telephone calls and emails in a timely fashion
- Collect any applicable fees prior to surgery
- Document in patient EMR accounts detailing patient interactions and progress
- Review physician's daily schedule for office hours and surgical availability. Add in templates for office hours and update the various physician and group calendars
- Schedule meetings for the physicians including monthly billing meetings
- Must be detail orientated and organized to ensure the best patient care
- Must work well in team setting with various departments including but not limited to front end, call center, billing, nursing, credentialing
- Must possess strong communication skills and must be professionally engaging with the physicians, patients, co-workers, and demonstrate compassion
- At times, you may be asked to assist in crunch situations at the front desk, back desk, and or help with phone calls for the practice
Requirements
- 2+ Years experience in healthcare and surgical scheduling
- 1+ year experience with insurance benefits, prior authorization, and medical policies
- Experience with surgical scheduling for Plastic and Reconstructive Surgery with Hand and Upper Extremity subspecialty, and Orthopedic is preferred
- Excellent customer service skills in both verbal and written communication
- Strong knowledge of EMR, computer programs, and good typing skills
